What Preview rectangles leave in the text layer
macOS Preview is the default because it is already on the Dock. Tools → Annotate → Rectangle filled with black looks like redaction and is not. The glyphs remain in the PDF content stream. Spotlight can still index the original file sitting in iCloud Drive. A hiring manager on Windows will search the “covered” Social Security number and find it. That is the Mac-specific failure, not a generic “use a better tool” slogan.
Acrobat is a purchase and often a blocked install on a corporate Mac. Homebrew casks and random DMGs hit Gatekeeper and MDM. Safari and Chrome are already allowed. A free covering pass that runs in those browsers is the path that does not require another ticket to IT and does not pretend Preview’s shapes destroyed text.
Desktop and Documents in iCloud, plus Optimized Mac Storage, means the file you think is “only on this laptop” may already be in iCloud and on another Mac. Covering an export does not rewrite those copies. Time Machine will also keep the unredacted original until those snapshots age out. Plan for copies, not for a single inode.
How to redact on a Mac without buying Acrobat
Open Safari or Chrome—Safari’s picker is stricter about which folders it shows; Chrome may list more of the disk. Load the PDF in the free Mac redaction tool on this page. The file stays in that tab. You are not installing Acrobat, and you are not sending the HR packet to a remote covering service.
- Work from a copy in a local folder you control, not from the only iCloud Drive original if you can avoid it.
- Draw boxes over statement digits, ID numbers, and contract clauses you must withhold. Do not use Preview to “pre-black” the same regions; start from a clean export of the source.
- Download the new PDF. Open it in Preview only to search and to try selecting across a black region. If Preview can still copy text out of a box, the export failed.
- Keep the source out of the folder you will attach from. Spotlight will still know the original if it remains on disk; that is a retention issue, not a reason to skip covering the copy you send.
AirDrop JPEGs of a Mac screen are screenshots with their own metadata. iPhone photos of a paper form are a camera-metadata job. This page only flattens PDF boxes in the browser.
Three macOS sync and Spotlight traps
iCloud Drive Desktop & Documents will sync the unredacted lease the moment you save it to Desktop. Covering a download in ~/Downloads does not change Desktop. Share the export, and stop using Desktop as the working folder for originals you cannot have in the cloud.
Spotlight indexing of the original means a later search for a name on your Mac still hits the unredacted file even after you sent a covered copy. That does not leak to the recipient by itself, but it does mean you should not treat “I redacted it” as “this Mac no longer holds the string.” Follow your retention rules for the original.
AirDrop from Finder to a colleague often sends the highlighted Finder item, which is the original you opened in Preview to “see what to cover.” Highlight the export in Downloads after you open the export, then AirDrop.
Mac mistakes that look redacted in Preview only
Exporting from Preview after drawing shapes (File → Export as PDF) can still keep text. Search the HidePDF download in a second app—Chrome’s PDF viewer or a copy opened on another OS.
Buying a cheap Mac App Store “blackout” utility that adds annotation objects repeats the Preview problem with a nicer icon. Flatten and search.
Letting Gatekeeper scare you into a consumer website that takes the file off-machine is the wrong reaction to MDM. Use the browser tab you already have.
