Address fragments that still point to a home or a tenant

A street line is the obvious target. The identifying leftovers are unit numbers, ZIP codes next to a rare last name, PO boxes, subdivision names in photo captions, QR codes on scanned envelopes, and map insets that show a pin on a cul-de-sac. The same fragments appear on a shelter intake shared with a county coordinator, a subpoena return of service that lists a witness’s home, and an HOA violation letter posted to a resident portal. If the recipient only needs to see that service was attempted, they do not need a navigable location.

1. Cover street, unit, city when city plus a rare surname is enough, ZIP, and country if the packet is otherwise domestic and the city is identifying.
2. On merged scans, cover envelope windows, return-address stamps, and handwritten directions in a margin (“blue house east of the fire station”).
3. On portal-bound HOA letters, cover the property photo caption that names the subdivision and the map thumbnail on page two.
4. Export and search for the street name, the ZIP, and a unit token such as “Apt.” If any hit, the box missed a header repeat.

Landlords and brokers often work from cafes. That is a reason not to send the PDF to a remote service, not a reason to skip the search check. The file stays on your device; your verification can too.

Mail-heavy PDFs that go out with streets still showing

A shelter advocate emails an intake summary to a county housing coordinator. The coordinator needs household size and a case number, not the confidential location of the shelter or the survivor’s prior apartment. The PDF still shows both in a copied utility bill used as proof of prior residence. The advocate covers the shelter site, the prior street, unit numbers, and a ZIP, leaves the account-holder name if the coordinator already has it, and searches for the street. A QR code on the bill’s payment stub can still encode the service address; that stub gets a box as well.

A process server files a return of service PDF with the clerk. The affidavit needs to show that service was attempted; the public docket does not need the witness’s apartment number and buzzer code that the server typed into the notes field. Counsel covers the unit, buzzer, and any map screenshot pasted into the affidavit, leaves the date-time of attempt and the city, and verifies Find does not return the street. Clerks reprint these PDFs; annotation-style whiteout will not survive that reprint.

An HOA manager posts a violation letter to a resident web portal that other board members can open. The letter includes a photo of a driveway with a caption that states the street and a lot number. Neighbors already know the house; the wider board packet is forwarded. The manager covers the caption, the lot number in the header, and the mailing footer, leaves the rule citation and the cure date, and searches for the street name. A second page with a map inset is easy to miss at the end of the PDF.

Address-hiding mistakes that leave a ZIP or a unit

Covering the street and leaving “Unit 4B” next to a unique last name still finishes the address. Covering the tenant line and leaving a shipping label on a merged packing list does the same. Photo captions and map insets are not decorative; they are coordinates in prose.

1. Redacting page one of a lease and ignoring the notice-address block in an addendum.
2. Leaving a barcode or QR on a scanned envelope while boxing only the human-readable street.
3. Hiding the buyer’s address on a disclosure and leaving the same address in a broker’s email header that was printed onto page three.
4. Searching only for the house number after export and missing the spelled-out street (“Oak” without “123”).
