Signatures can appear as vector ink, scanned images, or certificate-backed digital signatures. When you black out signature in PDF exports for sharing, treat each appearance separately—covering a signature stamp may still leave the printed name in the line above.

Marks around a signature that still name the signer

Ink is only one surface. A signed PDF often carries the typed name above the line, a date-signed field, a notary stamp that repeats the name, footer initials, a “Digitally signed by” appearance, and a scanned wet signature on letterhead. Paint only the flourish and a later reader still has a complete identification from the printed block. When the job is to share an executed document with one party’s mark removed, cover every appearance of that signing identity.

If the viewer’s signature panel still lists a signer after you black out the visible stamp, treat that panel as a separate problem for counsel. Finish the visible page thoroughly, then inspect the panel.

Hiding a signatory’s mark with the blackout tool on this page

Load a duplicate of the executed file in the blackout tool on this page. Zoom until you can see descenders, stamps, and the typed name. Stretch a rectangle that swallows the ink, the name, and any “/s/” construction. Leave the rest of the clause readable so the agreement still shows what was signed.

1. Walk every page for initials, “acknowledged before me” blocks, and countersignature lines that repeat the same person.
2. On image-heavy scans, include a margin around the stroke. Felt-tip signatures bleed; a tight box leaves a recognizable tail.
3. If a notary seal contains the signer’s name in microprint, cover the name ring or the seal, depending on whether the recipient still needs to see that notarization occurred.
4. Export and try to select text through the former signature area. If a last name pastes out, enlarge the box. The file stays on your device the whole time.

Do not flatten by printing and rescanning unless you also check the new scan for OCR that recreated the name.

Packets that still need a signed page with one name gone

A vendor onboarding packet includes a prior mutual NDA that named a different supplier. Procurement wants the current supplier to see the template and the company’s signature, not last year’s wet ink. The contracts coordinator blacks the prior signatory’s name, title, and flourish, leaves the company’s remaining marks, and sends a copy that reads as an example of how the company signs. Missing the countersignature on an exhibit cover is the usual leak.

A title-company trainer builds a sample deed packet for new closers. The sample is a real recorded deed with the seller’s signature, a notary jurat, and a witness line. Trainees need the layout of the acknowledgment, not the seller’s autograph in a shared drive. The trainer covers ink, printed names, and the notary’s name if that notary did not consent to training use, then verifies Find no longer returns those names. The legal description and recording stamp stay visible.

A medical-billing vendor is quoting on prior-authorization paperwork. The sample PA form still has a physician’s wet signature and DEA number in the footer of page two. The office manager covers the signature, the DEA line, and the pager number, leaves the diagnosis codes the vendor needs to size the workflow, and transmits only the verified export. A leftover initial on a continued-page footer is enough to match the doctor against a public directory.

Signature-cover errors that counsel still flags

People black out the art and leave the biography. Printed names, dates, and stamps do more work than the loop of a “y.” Covering the entire execution page also fails: remaining parties cannot see that a signature ritual occurred. Tight boxes on the identity keep the document usable.

1. Ignoring certificate appearances that print a name in a gray box after the ink is gone.
2. Clearing one page of initials and assuming later pages inherited the change. Initials are per-page marks.
3. Sending an annotated working file from a markup app because it looked black on a projector. Markup is not burn-in.
4. Redacting a spouse’s signature on a jointly signed lease excerpt while leaving that spouse’s name in the party block on page one.
