Burning in redactions…

Workers' compensation claim PDFs stitch together forms ordinary health insurance packets omit: employer first report of injury, witness statements with coworker names, modified-duty offer letters, and disability wage calculations based on payroll exports. Injured workers share these files with union stewards, spouses coordinating care, and attorneys reviewing second opinions — not every recipient needs full coworker identities or unrelated prior claim numbers in the same bundle.

HidePDF blacks out sensitive regions permanently in the browser before those informal transfers. This page focuses on comp-specific exhibits, not generic medical bills or auto insurance claim photos.

How HidePDF works

STEP 01

Load the comp claim PDF

Open the redaction tool with the carrier packet, employer incident form, or medical authorization from disk.

STEP 02

Identify comp-specific fields

Find FEIN blocks, payroll identifiers, coworker witness names, and unrelated body-part injuries on consolidated histories.

STEP 03

Apply permanent redaction

Draw black boxes over each sensitive region across all pages including attached SOAP notes.

STEP 04

Download verified export

Search the export for SSN and account fragments before emailing stewards or family helpers.

Workers' Comp Document Types

First report of injury forms list machine IDs, supervisor names, and safety incident numbers — redact internal codes unrelated to medical review.

Payroll disability worksheets expose weekly wages and overtime detail — hide account numbers while keeping benefit calculation lines visible when needed.

Authorized treating physician notes may reference unrelated chronic conditions — redact when sharing with specialists who need only the acute injury segment.

Claim numbers versus full SSN on FROI and wage statements

A workers’ compensation PDF is a first report of injury, wage statements, clinic notes, and an adjuster letter. The claim number is how the board and the carrier talk. The employee SSN still prints in FROI headers. Wage statements add a bank account for disability checks. Clinic notes add a spouse in the social history and sometimes another patient’s sticker. A union steward, a second-opinion doctor, and a spouse tracking the next appointment do not all need the SSN and the account. They needed the claim number, the body part, and the next IME date.

HidePDF burns the extras into the page on this device. The carrier and the board get complete forms through official channels. Steward copies, family updates, and a new treating physician who only needs this injury get marked packets. Do not staple twenty years of unrelated psych notes to a knee claim because the clinic exported “all records.”

Preparing a union-rep copy from the adjuster packet

Copy the pages the steward will use. Open them in the redactor on this page. Cover SSNs, deposit accounts, and other-patient labels. Leave the claim number, the DOI, the employer name, and the work restrictions if those are the grievance facts.

  1. On wage statements, cover the account used for TTD deposits if the steward is only checking average weekly wage.
  2. On FROI forms, cover the SSN even when the claim number is present; extra copies of the SSN are extra copies.
  3. On clinic notes, cover unrelated body systems and third-party names that are not witnesses.
  4. Export and search the SSN, the account, and another patient’s name. If any pastes, widen the box.

If the steward later needs the unmarked FROI for a formal filing, send it through the union’s established channel, not a personal text.

Who at the carrier, a second-opinion clinic, and a family member sees the file

A second-opinion orthopedist agrees to review a shoulder. The packet still contains a prior EAP note. The injured worker covers that note and any SSN in the header, leaves the shoulder imaging and the work restrictions, and keeps the EAP material out of the orthopedist’s EHR if it is not the claim. Orthopedist offices scan whatever arrives into a chart. Unrelated psych content then lives in a new system.

A spouse wants to know the IME date. The adjuster letter also lists a full SSN and a home phone. The worker covers the SSN on the spouse copy, leaves the date and location, and does not forward the letter into a family group. Group chats add cousins.

A new treating clinic asks for “prior records.” The worker sends a marked set that covers other-patient labels and a deposit account on an attached disability-check stub, leaves the injury chronology, and avoids attaching the entire claim file as a courtesy. Clinics mean well. Their intake is still an archive.

Comp-packet mistakes that attach unrelated psych notes

Clinic export buttons say all. Claims are about a body part and a date. The gap is where EAP notes enter an adjuster’s email and a steward’s phone.

Forwarding the entire FROI-plus-chart merge to a Facebook injury group for advice. Ask the group about process. Do not post the PDF.

Covering the SSN on the FROI and leaving it on the wage statement in the same email. Search both attachments.

Letting a nurse case manager keep an unmarked packet on a personal laptop. Issue a marked set for what they need. Verify Find fails before the file leaves your folder. Boxing stays in the browser.

Frequently asked questions

What is unique to workers' comp PDFs?

They combine injury incident reports, employer FEIN blocks, OSHA logs, treating physician notes, and wage calculations for disability benefits — a mix general medical redaction pages do not emphasize.

Should I redact injury descriptions?

For informal shares, sometimes partial redaction of unrelated prior injuries helps. Official carrier filings usually need complete incident narrative — confirm before filing.

What employer fields matter?

Payroll account numbers, HR case IDs tied to other employees, and internal investigation notes not meant for family viewers.

Does HidePDF remove metadata?

HidePDF redacts visible content permanently. Strip PDF metadata separately if policy requires envelope cleaning.

A workers' comp file is an employment record and a medical record at once. Carriers generate PDFs that include OSHA 300 log excerpts, return-to-work offers citing job titles and pay rates, and nurse case manager notes with home phone numbers. Injured employees text these PDFs to family coordinating rides to appointments and to union reps building grievance timelines — channels less protected than the carrier portal itself.

HidePDF supports comp claim hygiene locally: redact coworker witness names on copies for spouses, hide payroll account numbers on wage-loss exhibits sent to accountants, and keep treating-physician detail visible only to medical reviewers. The tool never receives your packet during editing.

What to Redact on Workers' Comp PDFs — and Why

Coworker names on witness statements when sharing injury narrative with family who do not need third-party identities.

Employer payroll account and internal HR ticket numbers on wage statements attached to disability calculations.

Unrelated prior injury line items on consolidated medical histories sent to a new specialist.

Home addresses on nurse case manager cover letters when email is sufficient contact method.

Realistic Scenarios

Scenario A — Union review: A steward receives a redacted first-report PDF with coworker witness names hidden but machine-guard details visible.

Scenario B — Spouse care coordination: A worker redacts payroll account numbers on wage-loss worksheets shared with a partner scheduling appointments.

Scenario C — Second opinion: A treating note is redacted for unrelated prior back injury history before referral to an orthopedist focused on the acute claim.

Step-by-Step: How to Use the Tool

  1. Open the comp PDF bundle in HidePDF and inventory every attachment page.
  2. Redact financial and identity blocks on employer forms before sharing with non-HR recipients.
  3. On medical attachments, redact unrelated diagnoses per attorney guidance while keeping acute injury documentation visible.
  4. Export, copy-test redacted regions, and label files by audience (family_redacted, union_redacted).
  5. Submit complete carrier-required originals only through the official comp portal or certified mail when mandated.

Common Mistakes

Treating comp claims like generic health insurance EOBs. Comp adds employer incident and wage forms — sweep those pages explicitly.

Redacting disability payment amounts union reps need. Clarify audience — hide account numbers, not benefit math, when appropriate.

Forwarding the entire carrier ZIP without page-level redaction. Split and redact attachments per recipient.

Why Browser-Only Comp Redaction Matters

Workers' comp PDFs can end careers and lawsuits if mishandled — they contain statements usable against both employee and employer. Sending full packets to cloud redactors creates discoverable copies outside the claim file. HidePDF keeps editing on the injured worker's machine until each export is scoped for its recipient.
