How to flatten a VSO, helper, or forum copy

1. Decide who will receive this file. A VSO inbox, a family helper, a veterans forum, and the VA portal are different audiences. Cover more for public posts. Follow VSO guidance for official representation copies.
2. Open the PDF in the tool above. Walk rating letters, exam reports, and any evidence exhibits merged into one download.
3. Box SSNs, repeated claim numbers you do not want published, deep evaluation narratives, and unnecessary service identifiers. Leave the claim issue and decision text you want reviewed readable.
4. Export. Search. Try select-all. If a covered SSN or narrative phrase appears in a find box, you only drew a rectangle on the picture. Run it again until search is clean.
5. Send the burned-in file for that channel. Keep unmarked claim packets labeled for VA and appeal use.

Sharing a VA claim without oversharing your record

Posting a claim excerpt on a veterans forum for rating advice. Readers need the decision language and the condition at issue. They do not need your SSN, full service history, or an entire exam narrative. Burn identifiers in and attach only the pages that support the question.

Sending a packet to a VSO alternate email. VSOs often need more of the file than a forum does, but alternate inboxes still deserve covered SSNs when a narrower working copy will do. Ask what they require, then redact the rest.

Keeping a redacted copy while the original sits in an appeal. You may want a sharable archive without clinical depth in a family drive. Create a burned-in copy for helpers and keep the complete appeal file separate and labeled.

The marker-on-paper mistake — and other ways a claim stays readable

Redacting the claimed condition title but leaving the full medical evaluation narrative. The narrative still exposes symptoms, history, and examiner detail. Cover or omit those pages when they are not required.

Forgetting the claim number on multiple pages. Headers and footers repeat identifiers. Search the entire export, not just page one.

Blacking out a printout, then scanning it back. The marker hides paper. The new PDF can still carry OCR, or you may later attach the unmarked digital original. Permanent redaction is a burned-in region on the file you send, then a search to prove the string is gone.
