A grant PDF is a collage: narrative, biosketch, budget justification, letters of support, a 990, and sometimes last year’s rejected draft still living as an attachment. Program officers asked for effort percentages and a scope of work. They did not ask for a PI’s home street on a biosketch header or the internal fringe-rate worksheet that names every staffer. Courtesy copies to a community partner need even less.

Marking bios and 990 attachments before the courtesy copy leaves

- Stretch boxes through salary columns a community partner does not need, leaving the line-item labels if the partner is commenting on scope.

- Export and search distinctive last names and a known home street. If either pastes, enlarge the region. Processing stays in the browser.

Who actually reads the draft besides the agency
A fiscal sponsor asks to see the budget before signing a memorandum. The sponsor needs to know the subaward total and the audit clause, not the PI’s home address on a NIH-style biosketch that was generated from an old eRA Commons export. The grants manager covers home streets, personal phones, and the internal salary worksheet, leaves the scope and the subaward number, and sends a copy the sponsor can file without becoming a second HR office.
A board chair wants a one-page summary plus the budget table for a vote. The table as exported from the accounting system still lists employee names in the personnel justification. The manager blacks those names, leaves role titles and effort, and keeps the unmarked original for the agency portal. Mixing both files in one board folder undoes the work the moment a director downloads the zip.
A journalist covering a community grant asks for the public narrative. The communications lead attaches last year’s 990 “for context.” Schedule B donor names and an officer’s home city were never part of the interview. The lead covers donor identities and home cities, leaves program service revenue if that is the public story, and verifies Find no longer returns a distinctive donor surname.
Attachment habits that leak PI home streets
Grant teams reuse PDFs. Reuse is how a home address from 2019 survives into a 2026 partner share. Boxes have to follow the fields that moved, not the filename you remember.
Emailing the entire Grants.gov workspace zip to a community partner. Workspace zips include SF-424 family forms with SSNs on older individual-applicant variants and with home addresses on biosketches. Curate first.
Covering salary numbers but leaving names in the same cell. A name plus a fringe rate is still a personnel record. Cover the identifier the partner does not need.
Assuming a scanned letter of support has no selectable text. OCR on the export can resurrect a cell number in the letterhead. Search after flatten. The partner should receive only the copy that failed those searches.
